The following guidelines and desktop publishing tips concern external publications of Pellissippi State Technical Community College. Please follow these guidelines and tips when writing, designing, and/or producing any form of correspondence or literature for the College's external audiences. You may direct any questions you have to the Community Relations office.

| Publication Procedures |
For your easy reference, we've highlighted a few tips to help your project proceed smoothly through production:
1. All new work is initiated through the publications coordinator, Community Relations office, 249 Goins, 539-7089. Be sure to plan ahead so you will be prepared when you deliver your project to make quantity, paper, ink and other production decisions. Your project will be tracked via computerized logging system to its completion. Contact the publications coordinator to check on the status of your job.
If you need a project completed in less than the usual turnaround time, please let the publications coordinator know when submitting the work. The staff will then do its best to accommodate the rush request.
2. The publications coordinator edits all external documents to ensure that style and grammar are consistent throughout the College. Each external document is assigned a number to meet the College's auditing requirements.
3. You will have a number of opportunities throughout the production process to review your project, signing off on the cover sheet after each viewing. Since signing off indicates your acceptance and approval of each proof and places responsibility for errors that get into print on you, please review your project carefully at each stage.
4. Typical turnaround time for design work is five working days; for printing, an additional five working days. Turnaround includes only the time a project is in the hands of the Publications staff. Please keep in mind that customer changes will increase the design and/or printing time, thereby increasing the project's cost.
5. Once your job is complete, it will be hand-delivered or delivered through the internal mail to your office.
6. After you have received your completed job, one of the designers will present you with a voucher to sign that includes the total charges. If you have questions regarding your voucher, please contact the publications coordinator.
| Logotype |
To maintain consistency of the logotype, always use forms preprinted with the logo or reproduce it from camera-ready art or electronic files of the logo. Do not attempt to compose the logo in type on a word processor or layout program.
The logo is available as a WPG (WordPerfect Graphic) file for use on the VAX system. Call the publications coordinator (539-7089) for directions on accessing the logo. EPS (Encapsulated PostScript) files of the logo are available in both PC and Macintosh formats. EPS files of the logo require a postscript-compatible printer. Scans or bitmaps of the logo are not acceptable for desktop publishing.
When the logo is to be used with the slogan "...Your Success Connection," the slogan is set in Tekton Oblique or Tekton Bold Oblique for use in reverse.
When the logo is to be used in reverse, all elements of the logo must be solid white. The outlines in the reversed version are thickened to compensate for ink bleeding.
The word STATE is always in outline form. Never fill the outlines with a screen tint. Do not use yellow letters without an outline.
Following are examples of the correct use of the logo with the slogan "...Your Success Connection."
The logo is a special type treatment of the words "Pellissippi State."
The logotype should be treated as a symbol and not as words or body text. Never use the logotype as part of a phrase or sentence.
If the school name is to accompany the logo, use the complete name: PELLISSIPPI STATE TECHNICAL COMMUNITY COLLEGE.
The slogan "...Your Success Connection" may be used with the logo as detailed earlier. Do not alter the slogan for different departments or courses.
VAX system users should choose the WPG file of the logo that contains the slogan or school name incorporated into the file rather than trying to add the slogan or school name with their word processor.
Use the logotype with the slogan on promotional and recruitment materials. The complete school name should appear elsewhere on the page.
Use the logotype that includes the complete school name if the name is not included elsewhere on the page.
| Logotype Colors |
The logo must be printed in the two colors or in one color--blue (Pantone #288), black, or white dropped out of a background.
If the publication is being printed in a color besides Pantone #288 or black, only the reversed (white) version of the logo should be used. Never print the positive version of the logo in a color besides Pantone #288 blue or black.
When printing with one or both of the official College colors, avoid printing on colored paper, which will alter the appearance of the blue (Pantone #288) and yellow (Pantone #122) inks.
The word PELLISSIPPI and the outline letters in the word STATE print solid Pantone #288.
The rules below the words PELLISSIPPI STATE print Pantone #122 yellow when the logo is printed in two colors. In one-color versions, these rules print 40 percent of the ink color whenever the printing process allows for screen tints of 85-line or greater; otherwise, print the rules solid.
| Office Names |
These general guidelines help maintain a uniform and consistent treatment of the logo, office names and school name.
An office name is used with the logo by setting it in the typeface (Palatino, all caps). The name is positioned a minimum of 3 points (.0416 inch) below an extension of the yellow rule (40 percent color in one-color jobs), flush left with the active margin of the page.
The various offices of Pellissippi State should be treated as subordinate to the school name for identity purposes. Whenever possible, the full name PELLISSIPPI STATE TECHNICAL COMMUNITY COLLEGE (all caps, Futura Bold Condensed Oblique) should appear at the bottom left margin of the page above a rule. Position other information such as telephone numbers (Palatino) flush right under the rule.
| Stationery |
Business cards use the logotype with the complete school name. Your name, title, department, phone, fax and Internet address follow. Business cards are preprinted with the full-color logo and school address. Include the information above when requesting a card through Community Relations.
You can order one-color and three-color envelopes through the publications coordinator (539-7089).
When printing your own envelopes use the logotype with the complete school name. Office names are incorporated in the return address under the logotype. Align the address (Palatino, all caps) under the logotype, flush left with the rule under the name PELLISSIPPI.
| Letter Setup |
A sample for letter formatting is in your "Identity Guidelines and Desktop Publishing Tips" handbook, available through Community Relations. The example illustrates features that all letters should have.
All external correspondence on various department letterhead shall use the following formatting: Body text is in Palatino (Times Roman can be substituted only if Palatino is not available), in one column with one-inch margins right and left. The horizontal rules on the letterhead define this margin. Letterhead is preprinted in three colors and can be ordered through the publications coordinator (539-7089). It can be printed with your department name on it, or generic letterhead is available through the Community Relations office.
Users on the VAX system should be able to find a typestyle to match either Times or Palatino on every printer on the system. Print a test of the typeface, and compare it to the sample in your "Identity Guidelines and Desktop Publishing Tips" handbook.
The text size should be 11 points with 4 points of extra leading, or 15 points total line spacing. This extra space aids in the legibility of the text in a column 6.5 inches wide.
Use an empty line space to distinguish paragraphs. Text shall be flush left with no indents. At the end of a sentence, use only one space after punctuation instead of the two spaces used in typewriting.
Refer to the easy-to-use manuals "The PC Is Not a Typewriter" and "The Mac Is Not a Typewriter" for useful tips on formatting copy. Both manuals can be ordered through the Pellissippi Campus bookstore.
| Newsletters |
The masthead area at the top of the page is open for the name of the newsletter and tagline describing the newsletter. The designer is free to use different typefaces in the Futura or Palatino families in the masthead design. Art, symbols or photography can be included in this area.
The quarter-inch horizontal area below the masthead is for volume and date information. This area must include the complete school name.
The pages are laid out in a three-column grid. Art, large headlines and photos can cross columns to include two or even three columns.
Body copy is Palatino, sized between 10 and 12 points with at least an extra 1 point of leading (10-point copy should have a line spacing of 11 points).
Subheads should be the same size and leading as the body copy but be of a contrasting type. The example in the "Identity Guidelines" uses Futura Bold Condensed Oblique.
Article endings should be designated with an end symbol from a symbol font such as Zapf Dingbats.
Features such as quoteouts and photo captions are encouraged to aid legibility and reader interest.
The "Identity Guidelines" also picture an acceptable alternative newsletter layout based on a one-column format.
The main column of body copy has a left margin of 2.75 inch. The paragraphs have no indents and are distinguished by one line space.
Subheads, callouts, and art are placed in the area between the one-inch left margin of the page and the 2.75-inch left margin of the body copy.
Masthead and body copy use the same typestyles detailed for the three-column newsletter.
| Forms |
Applications, withdrawals, various schedule handouts, and other forms come in different sizes and shapes. Some are adapted from existing preprinted materials.
Consistent use of the logo is the only way to visually unite these various materials.
Use the logo only as discussed at the beginning.
Place the logo/type treatment either centered or flush right with the page margins. Flush right placement should incorporate an extended rule defining the left page margin.
When lack of space on a form prevents use of the logo, use the complete school name, PELLISSIPPI STATE TECHNICAL COMMUNITY COLLEGE, set in all caps, Futura Condensed Bold Oblique. Do not attempt to emulate the logo by setting the complete school name in big and small caps. Do not set the school name in uppercase and lowercase letters.
The printing of forms on colored paper is allowed as a sorting aid. If colored paper is used, all printing should be in black ink.

External correspondence--including letters, president's reports, alumni and development newsletters, brochures, and recruitment materials--need to include some form of these statements.
The complete statements should be included in multipage documents. Although placement can vary, the statements should appear in logical areas, such as the table of contents page or at the end of the body copy of the publication, i.e., last page, inside front cover, or back cover.
Set the complete statements in the same typeface as the body copy, but use a smaller type size to distinguish them from the body copy.
Set each abbreviated statement flush with the left and right margins as follows:
In the complete statements, always type the words PELLISSIPPI STATE TECHNICAL COMMUNITY COLLEGE in all caps.
