National Strategic Protective Services (NSPS) is looking for a PAYROLL AND ACCOUNTS PAYABLE SPECIALIST

The successful candidate will be responsible for accurately and efficiently coordinating weekly payroll for around 200 employees and processing accounts payable vouchers in support of the Department of Energy (DOE) Oak Ridge facility.

Responsibilities as Related to Payroll: Process payroll using Deltek Time and Expense and ADP Payroll Software. Maintain accurate and neatly prepared payroll files documenting each step of the payroll process and provide reconciliation of all exceptions. Review the following for accuracy and recommend/submit corrections: wage computations, ADP reports, pay and position changes, pay and deduction codes, timesheets. Conduct data capture and entry for time and attendance. Record changes affecting wages such as garnishments, bankruptcies and child support orders, maintaining communication with specific entities as necessary. Coordinate production of paychecks, direct deposits, and labor cost reports. Complete weekly payroll journal entries for 401k contributions, payroll taxes, labor distribution postings, and flexible spending accounts. Process accurate and timely year-end/monthly reporting when necessary (W-2, union dues, etc.). Reconcile payroll prior to transmission and validate confirmed reports. Provide timesheet and ADP Self Service website training and support.

Responsibilities as Related to Accounts Payable: Maintain accurate vendor files (paper and electronic). Record vendor banking information and payment terms and correctly price according to contracted services. Review invoices including: pricing, quantities, taxes, and shipping charges; compare/match purchase orders with receiving documents and assist in resolving any discrepancies. Data entry of invoice costing based on accounts, projects and organization assignment as coded by the Business Analyst and Finance Manager. Obtain necessary approvals of invoices, as required with necessary documentation. Submit weekly reports for voucher payment approval. Schedule and complete weekly check run and/or electronic funds transfer (EFT). Perform monthly account/bank reconciliations and complete periodic audits of vendor accounts. Assist with monthly closing.

Education/ Experience
Required: High School Diploma with minimum of five (5) years combined payroll and accounts payable experience OR an Associate’s degree in Finance, Accounting, or related discipline with three (3) years related experience/training. Strong mathematical skills required. Ability to learn computer software programs. Strong organizational skills and attention to detail. Working knowledge of payroll/accounts payable best practices. Strong knowledge of federal and state regulations. Proficient in Microsoft Office (Word, Excel, and PowerPoint). Be a U.S. Citizen; Obtain and maintain valid driver’s license; Applicant selected will be subject to a background investigation; • Ability to successfully complete drug screening requirements and comply with the WSAP program.
