Pellissippi State maintains a fleet of vehicles for faculty/staff use while conducting college business. All persons operating a 15 passenger van must complete the required forms and review the college's policy for these vehicles. Authorization forms are available through the policy link, or from the Facilities office (6618).

If a vehicle is not available you will be notified and provided with a No Vehicle Available form. This form must be attached to your travel claim to receive mileage reimbursement for using your own vehicle. College policy states that mileage reimbursement for using your own vehicle is not allowed, unless there is no state vehicle available.

Vehicles and keys may be picked up at the Physical Plant building between the hours of 7:30 a.m. and 4:30 p.m., Monday through Friday. If you are departing earlier or later than these times, you may make arrangements to pick up the keys ahead of time. If returning after regular hours, please leave vehicle keys and mileage sheet in the Key Drop located by the State Vehicle Parking area next to the Physical Plant building. Please be sure to fill out the mileage sheet completely before returning the keys. Please also make note of any problems encountered with the vehicle that may require attention.

Please be sure to check the fuel gauge on the vehicle before departure. If you will need fuel during the trip, you must use the Fuel Man card located in the glove box. Please review the procedures and Fuel Man location guide prior to departure in case you have any questions.

In the event of a roadside emergency, there is a roadside kit located in each vehicle. Included are written guidelines for handling roadside emergencies. If the situation requires roadside assistance, be sure to retain any receipts for expenses you may incur, such as towing or assistance.

IF YOU ARE INVOLVED IN AN AUTO ACCIDENT WHILE DRIVING A STATE VEHICLE, RENTAL, OR YOUR OWN VEHICLE WHILE IN THE COURSE OF YOUR EMPLOYMENT, FOLLOW THE INSTRUCTIONS BELOW:

Do not leave the scene. Be prepared to communicate ALL details of the incident to the State’s adjuster.

Call emergency services (911 or police non-emergency number) as needed.

Take at least 4 photos of both vehicles, license plates, parking situation, insurance card for other party, and any notable unrelated damages. Include photo of the other party if applicable.

Call the State of TN Auto Accident Call Center immediately 855-253-0629 to report the incident to the state adjuster, then call your supervisor and and Facilities staff at 865-694-6618 follow your department’s applicable procedures.

Do not admit fault in the accident or promise coverage or reimbursement to anyone.

Be prepared to provide the following information to the Call Center:

  • Incident date, time, and location
  • State driver’s name, phone number, and email
  • Any/all other drivers’ names and phone numbers, plus emails if available
  • Any other involved passengers’ names and phone numbers, plus emails if available
  • Vehicle information for all vehicles, including license plate number and/or VIN
  • Your State Supervisor’s name, phone number, or other contact information
  • Confirm if any fatalities or non-fatal injuries occurred

When leaving your personal vehicle at the campus, please leave your vehicle in the 02 lot next to the Physical Plant building, not in the spaces marked STATE VEHICLES.
